Can Google Tasks or Microsoft To Do assign tasks to your team?

Yes, with conditions. Both apps are free, and both can give a task to another person. But each one does it in only a few places, and only between some kinds of account. Here is what Google’s and Microsoft’s own help pages say, and what changes when you want to assign work by voice or from a meeting.

Quick answer

Google Tasks can assign a task in two places only: in a Google Chat space, to the members of that space, and from a checklist in Google Docs, to people in your own domain on a work or school account. An assigned task cannot have subtasks or repeat.[1][2][3] Microsoft To Do can assign a task only inside a shared list. Each person needs a Microsoft account, and a list is shared only between personal accounts, or inside one work or school organisation.[4][5][6] Both apps are free.[7][8] For voice, Google Assistant adds a task to your own list, and Microsoft lists no voice input for To Do.[9][10] In NeoKaam, you say who and when, in Hindi, English or both, and the AI gives the task to that person.

How assigning works in Google Tasks

Google Tasks is a free to-do list that comes with a Google account. It sits in the side panel of Gmail, Calendar, Chat, Drive and Docs, and it has apps for iPhone and Android.[7] Google lists only two places where you can assign a task to someone else:[1]

  • In a Google Chat space. You can assign a task only to the members of the space. To give a task to someone outside it, you invite them to the space first. When a space becomes too large, you can no longer assign tasks in it.[2]
  • From a checklist in Google Docs. This needs a work or school account. You can assign the task to yourself or to other people in your domain.[3] Personal Google accounts cannot do it.[11] The person gets an email, and the task shows in their own Tasks list, and in their Calendar if it has a date.[3]

An assigned task also loses two things. In Google’s words: “You can neither create a subtask nor repeat shared tasks.”[1]

How assigning works in Microsoft To Do

Microsoft To Do is a free to-do app for iPhone, Android, Windows and the web.[8] You can assign a task only inside a shared list:[4]

  • Share the list first. You send an invitation link. Only people with a Microsoft account can join, and you cannot share a single task.[5]
  • Then assign. Open a task and choose “Assign to”. You can pick any member of the list, yourself too.[4]
  • The accounts must match. A list can be shared only between personal Microsoft accounts, or between accounts in the same place of work or education. A list that a work account owns is unavailable to anyone outside that organisation.[6]
  • Moving a task removes the assignment. If you move a task that is assigned to someone to another list, the assignment goes.[4]

On a work account there is one more way in. If your organisation uses Planner, the Planner tasks assigned to you show in To Do’s “Assigned to me” list. The task is assigned in Planner, and To Do shows it. Microsoft says to ask your admin whether you have a Planner licence.[12] Microsoft 365 business plans list “Apps to manage tasks, such as Microsoft To Do, Lists, and Planner”.[13]

Assigning by voice, or from a meeting

Saying a task can be quicker than typing it. Here is what each company lists for voice and for meetings:

  • Google Assistant adds a task to your own list when you say, for example, “Hey Google, set a task”.[9]
  • The Gemini app can add, edit and show your tasks in Google Tasks.[14] Google’s page does not say whether this works by voice.
  • Google Meet can turn a meeting into tasks. With “Take notes for me” on, the screen after the meeting can add action items to Google Tasks. The meeting must be in Google Calendar, and you need a computer and a work or school account on Business Standard or Plus, Enterprise Standard or Plus, or Google AI Pro for Education. Google began to roll this out on 5 October 2026.[15][16] “Take notes for me” lists English, French, German, Italian, Japanese, Korean, Portuguese and Spanish: Hindi is not on the list.[17]
  • Microsoft To Do: Microsoft lists no voice input for it.[10]
  • Microsoft Teams meeting recaps suggest action items for Microsoft 365 Copilot customers.[18] Microsoft 365 Copilot Business is sold as an add-on.[13]

In NeoKaam, voice is the main way to assign. On your phone or in your browser, you say a sentence in Hindi, English or both: “Priya, send the fee list to the office by Friday.” The AI writes the task, gives it to Priya and sets the date to Friday. If you say no date, the task has none. Nothing is saved until you check the task and tap Add.

You can also record a meeting of up to 90 minutes, on the phone or in the browser. You read the transcript, then get the tasks for the people named. Each of these is one AI import, and the Free plan includes 5 AI imports a month for each person.[19]

What an “AI import” is. You speak, type, upload a spreadsheet on the web or record a meeting, and the AI turns it into tasks for the people you name. You check the tasks, then add them. Each time is one AI import.[19]

What you pay

Both apps are free.[7][8] Some of the features above need a paid business plan. These are the prices in US dollars, per user a month, before tax, as Google and Microsoft print them:

  • Google Workspace Business Starter, on Google’s 2022 list of editions that can assign tasks from Docs: $7 on the Annual/Fixed-Term Plan, or $8.40 on the Flexible Plan.[11][20]
  • Google Workspace Business Standard, which Google lists for Meet’s action items in Google Tasks: $14 on the Annual/Fixed-Term Plan, or $16.80 on the Flexible Plan.[15][20]
  • Microsoft 365 Business Basic: $7.00 with Teams, or $5.40 without Teams. Business Standard: $14.00 with Teams, or $10.79 without. These are Microsoft’s list prices.[21]
  • Microsoft 365 Copilot, for the meeting recaps in Teams[18]: Microsoft 365 Copilot Business is sold as an add-on.[13]

NeoKaam charges one price for the whole team, and the plans differ in how much AI each person gets. Free: 5 AI imports a month for each person. Promotional: $5 a month for up to 10 people, with 50 each. Team: $40 a month for a pack of up to 10 members, with 200 each.[19] For every plan, see what a team really pays.

Where Google and Microsoft are better

  • Both are free. Google Tasks comes with a Google account, and Microsoft To Do is free on iPhone, Android, Windows and the web.[7][8]
  • Assigning inside the tools a team already uses. In Google, you assign in a Chat space, or from a checklist in Docs on a work or school account, and the task shows in the person’s own Tasks list.[1][2][3]
  • Free shared lists on personal accounts. Two people with personal Microsoft accounts can share a To Do list and assign its tasks to each other, at no cost.[4][6][8]
  • Built into Gmail, Calendar and Outlook. Google Tasks sits in the side panel of Gmail and Calendar, and a task with a date shows in Calendar.[7][22] To Do works with Outlook Tasks.[8][23]
  • Email to task. In Gmail, “Add to Tasks” makes an email a task, and you can go back to the email from it.[22] On a work or school account, a flagged email in Outlook becomes a task in To Do.[24]
  • To Do’s My Day and smart lists. My Day, Important, Planned, Assigned to me and Flagged Email, among others.[25]
  • Indian languages in their apps. Google Tasks’ iPhone app lists Hindi, Bengali, Gujarati, Kannada, Malayalam, Marathi, Tamil, Telugu and Urdu.[26] To Do’s app is in Hindi, Kannada, Malayalam, Tamil and Telugu, with more Indian languages on the web.[27]

What NeoKaam does not have yet

  • List and board views only. No calendar view in the app. On Promotional, Team and Unlimited, deadlines can sync to Google Calendar.
  • Sheets on the web only. A spreadsheet import reads up to 300 rows, and only on the web.[19]
  • Web mostly in English. The phone apps are in English and Hindi.[19]
  • Voice in English and Hindi only. And the two mixed in one sentence. No other Indian language yet.
  • No time tracking, dependencies or custom fields.
