Task management app prices in 2026: what a team really pays

A pricing page shows one number. A team pays more than that number: most apps charge for every person, the low price is often for a full year paid at once, some plans sell seats in steps, AI can cost extra, and tax comes on top. Here are nine apps side by side, in US dollars.

Quick answer

Most task apps charge per user, per month, and the lowest price is usually for a full year paid at once. On 17 October 2026, the cheapest paid team plans billed yearly were Zoho Projects $4, Trello $5, Microsoft 365 Business Basic (with Planner) $7, Google Workspace Business Starter $7, Todoist $8, ClickUp $9, Notion $10 and Asana $10.99 per user a month.[1][2][3][4][6][7][10][12] NeoKaam charges per team, not per user: NeoKaam Team is $40 a month for up to 10 members ($400 a year, so $3.33 per member a month), and NeoKaam Promotional is $5 a month for a whole team of up to 10.[14] Tax comes on top.

What “AI” means for NeoKaam. You speak, type, upload a spreadsheet or record a meeting. The AI turns it into tasks: up to 300 from one import on the web, each one with the person you named and the date you said. You check the list, then confirm. The app calls each of these an “AI import”. On the Team plan, every member gets 200 a month, not 200 for the whole team[14].

What 10 people pay in a year

The same team of 10, on each app’s cheapest paid plan for a team, before tax:

What 10 people pay in a year
App and plan10 people, one year
Zoho Projects Premiumbilled yearly$480
Trello Standardbilled yearly$600
Microsoft 365 Business Basicwith Planner, paid yearly$840
Google Workspace Business Starterone-year commitment$840
Todoist Businessbilled yearly$960
ClickUp Corebilled yearly$1,080
Notion Plusbilled yearly$1,200
Asana Starterbilled yearly$1,318.80
NeoKaam Teambilled yearlyOur app (NeoKaam)$400 (one pack of 10)
NeoKaam Promotionalmonthly, one price for up to 10 peopleOur app (NeoKaam)$60 (12 × $5)

Two things this table does not show. Microsoft 365 and Google Workspace also give you email, documents and video calls, so you may be paying for them already. And steps can change the count: on Asana, a team of 7 pays for 10 seats[2]. On NeoKaam Team, a team of 7 pays for the pack of 10 ($400 a year), and a team of 12 for the pack of 20 ($800 a year)[14].

Per user, or per team

Every other app in the table charges per user. Each person you add raises the bill.

NeoKaam charges per team. You buy one plan for the whole team:

  • Promotional: $5 a month for you and up to 9 teammates. Each person gets AI 50 times a month.
  • Team: a pack of 10, 20 or 30 members: $40, $80 or $120 a month, or $400, $800 or $1,200 a year. Each person gets AI 200 times a month.
  • Unlimited: $199 a month for the whole organisation, with no member limit. The whole team shares AI 2,000 times a month.

If no pack fits your team, for example you work alone or with a few people, the Promotional plan covers up to 10 people for $5 a month[14].

On every plan, only the team’s owner pays. The people in the team do not buy anything. They join with a free account, and they get the AI allowance of the plan they work in. Adding a person, or moving a person between projects, costs nothing extra, up to the plan’s member limit. When the team grows past its pack, the owner chooses a bigger pack. An invitation never adds a charge by itself[14].

Why a lower price does not mean a worse app

Big companies have long built their software where costs are lower, and kept most of the saving. With NeoKaam, you get the saving. NeoKaam keeps its costs low, so its price can be low.

Look at Zoho. It is a big company: ₹12,313 crore in operating revenue in the year to March 2025[15]. Its Zoho Projects Premium plan costs $4 per user a month, billed yearly[7]. NeoKaam’s Team plan has the same rate, $4 per member a month, as one price for the team: $40 a month for up to 10 members. And NeoKaam’s Promotional plan costs $5 a month for a whole team of up to 10.

The price is low because the costs are low, not because something is missing. Here is what every NeoKaam plan includes, Free too:

  • AI that assigns. Speak, type, upload a spreadsheet or record a meeting. The AI writes the tasks, each one for the person you name, with the date you say: up to 300 tasks from one import on the web. Nothing is saved until you confirm.
  • AI for each person. Each person gets 5 AI imports a month on Free, 50 on Promotional and 200 on Team. On Unlimited, the whole team shares 2,000 a month. A cancelled or failed import does not count, and tasks you add by hand have no limit.
  • A meeting note-taker. Record a meeting of up to 90 minutes on your phone or in the browser. Read the transcript, then get the tasks for the right people.
  • Voice update. Say “The proposal is sent. Move the review to Monday.” NeoKaam finds those tasks and shows each change, and you tick the ones to apply.
  • Hindi, English, or both in one sentence. Voice understands both languages, even mixed. The phone apps are in English and Hindi, and each person picks their own language.
  • My Day. Each person sees their own tasks every morning, with what is urgent today on top.
  • A full task app. List and board views, subtasks, priorities, labels, comments with @mentions, files and reminders. Recurring tasks too: for yourself on every plan, and for teammates on Team and Unlimited.
  • A Team view, with a nudge. See each person’s open, overdue and done tasks across your projects. Send a nudge to anyone who is behind.
  • “Just this task” guests. Invite a client or a freelancer to only the tasks you give them. They do not see the rest of the project.
  • Phone apps and a web app. iPhone, Android and the browser, with push reminders on the phone.
  • Slack and Microsoft Teams. A project’s owner can post task updates to a Slack or Microsoft Teams channel: paste the channel’s incoming-webhook URL in Project → Settings. The channel is told when a task is created, assigned or completed, and gets one summary for each AI import. Secret tasks are never posted. A project can have up to 5 channels, on every plan.
  • An API and an MCP server. Make a personal API key, or connect an AI assistant over MCP, to read and write your tasks. Free includes 200 calls a month.
  • More on paid plans. Promotional, Team and Unlimited add Google Calendar sync and more file storage. Enterprise adds single sign-on, custom roles, an audit log and an admin console.

Try it with nothing to lose

  • Start free. Up to 10 members, 3 team projects, and AI 5 times a month for each person. No card needed.
  • Pay only when it works for your team.
  • Changed your mind? Cancel within 48 hours of paying, and you get the full amount back. On the web and on Android, the refund is automatic when you cancel. On iPhone, Apple handles the refund. You can use this once per account per year[16].

How to read any pricing page

Yearly or monthly

“Billed yearly” is cheaper per month, but you pay for 12 months at once. Microsoft’s prices are “paid yearly” with an annual subscription[9][10]. Compare yearly with yearly, and monthly with monthly.

Seat steps

Some plans do not sell one seat at a time. Asana adds seats one at a time up to 5 users, then in steps of 5 up to 30, then in steps of 10 up to 100[2]. NeoKaam sells its Team plan in packs of 10, 20 or 30 members[14].

AI: included, limited or extra

Trello, Asana, Zoho and NeoKaam include AI in the plans in the table. Asana sets a monthly limit per user. ClickUp gives AI credits on Core and its full AI on Business. Notion keeps its AI agent for Business. Microsoft includes Copilot Chat and sells Microsoft 365 Copilot separately. Google includes the Gemini app from Business Starter[1][2][3][6][8][9][11].

Tax

The prices in this post are before tax. Depending on where you are, VAT, GST or sales tax can be added at checkout. Asana and Todoist say this on their pricing pages[2][4]. When you pay NeoKaam in US dollars, Dodo Payments, the merchant of record, adds the local tax at checkout.

Why NeoKaam’s Team plan stops at 30

People ask me why the Team plan has a limit. The Team price is built for one team with one manager.

I don’t think any manager can manage more than 30 people at once without losing context.
Sumit Sourabh, Founder of NeoKaam

Bigger organisations have two choices:

  • Unlimited

    $199

A month in total, with no member limit, and AI 2,000 times a month, shared by the whole team.

  • Enterprise

    Custom

Pricing and seats agreed with you. Single sign-on, custom roles, an audit log and an admin console.

To be fair: Unlimited is a big step. The biggest Team pack, for 30 members, costs $120 a month. The next step, Unlimited, costs $199 a month.

If you need only a few more seats, you do not have to jump to Unlimited. Add a Promotional/Individual plan for the extra people: it costs $5 a month for up to 10 people[14]. If you need many more seats, or a setup made for your organisation, contact sales and we will agree the price and the seats with you.

Where the others are better

  • Zoho Projects lists Gantt charts on every plan, Free included.[8]
  • Trello is free for up to 10 collaborators, with unlimited Power-Ups (add-ons) per board.[1]
  • ClickUp’s free plan has no member limit, a calendar view and time tracking. Core adds Gantt charts and custom fields.[3]
  • Microsoft Planner comes with Microsoft 365 business plans, so you may already have it. Plan 1 adds timeline (Gantt) and calendar views.[9][10]
  • Google Tasks is free, and you can assign tasks in Google Chat spaces.[13]
  • Todoist’s voice capture understands many languages, and its free plan has 10 voice sessions a month.[5]
  • Notion puts documents, wikis and tasks in one place.[6]

What NeoKaam does not have yet

  • List and board views only. No calendar, timeline or Gantt view in the app. On paid plans, deadlines can sync to Google Calendar.
  • Sheets on the web only. A spreadsheet import reads up to 300 rows, and only on the web.[14]
  • Voice in English and Hindi today. And the two mixed in one sentence. No other language yet.
  • Web mostly in English. The phone apps are in English and Hindi.[14]
  • No time tracking, dependencies or custom fields.
  • No Zapier app yet. The API works today, with a personal API key.
  • Team stops at 30 members.
